The City of New Brunswick is in receipt of your Open Public Records Act request which has been assigned number 20.07_284. Kindly be advised that upon review of item (1) of your request for all communications received through the contact forms on CityofNewBrunswick.org this office has learned that there is a third party administrator, Revize, and their means of distributing the communications received utilizes an email system to distribute the communications to various offices and/or departments within the City. In response to our requests to the vendor we are advised that they do not have a search mechanism enabled to identify the recipient or subject matter. However, we learned that all communications are addressed as being received from “[email address]”. We have requested that the administrator of our internal email system conduct a search of [email address] to identify all communications received. We anticipate that the search will identify several hundred if not a thousand or more of such communications. And, at that point those communications will need to be reviewed for the redaction of personal identify information in conformity with current OPRA regulations.

While we apologize for the additional delay, this office will provide an update on or before next Friday, August 7, 2020, which will include information as to the number of communications received and any potential special service charge as it may relate to the redaction of personal telephone numbers and email addresses.

Dear Mr. Kratovil,

 

I am writing to follow up on the emails sent on July 31, 2020 and August
7, 2020 regarding Item #1 of your request. Kindly be advised the data
received from our third party vendor includes approximately 750
communications via the contact forms from the City website. Unfortunately,
those communications are not in a format that can be easily opened or
copied. To provide you with copies of the communications, each must be
opened in a separate program before we can redact the senders’ personal
phone number, email address and any other personal identifying
information. Due to the stated volume of the communications and our
preliminary assessment of the necessary time to complete the task, it is
estimated that the work will be completed at the expense of approximately
60 work hours with a special service charge fee of $18.64 an hour. At a
rate of $18.64 per hour, we estimate a charge of $1,118.40. If the work is
completed sooner, you will only be charged for the actual hours worked.

 

If you wish for us to proceed, please respond to this email. A $500.00
deposit will be required and we will continue working on the request. We
anticipate a completed response on or before September 4, 2020. Thank you.

Dear Madame Clerk:
What format are the files in? What program do they need to be opened in?

There's got to be a better way. How long would it take if you just printed them out, redacted them with a black marker, and scanned them back in? If you can let me know the file format they are in, I can look into it further.
